[Remote] Team Administrative Coordinator (Part-time)

As a Team Administrative Coordinator, you will enhance efficiency across various high-impact projects, manage scheduling, and coordinate events while supporting multiple leaders in a part-time capacity. Responsibilities • Scheduling and calendar management – support multiple Evio teammates with meeting scheduling • Maintain company calendar and HR calendar • Manage complex external meeting scheduling with multiple internal and external participants • Proactively work with external parties (e.g. customers, prospects, and partners) to get key meetings scheduled well in advance • Build rapport with customer health plan counterparts • Company event planning – team offsites, board meetings, customer offsites • Scout and book venues (lodging + meeting spaces); negotiate terms • Manage agenda, meals, AV, supplies, and swag • Handle budgets, invites, RSVPs, dietary needs, last-minute adjustments • Content management and organization • Ensure external decks meet brand standards – make formatting and design edits • Implement and maintain Sharepoint folder organization • Manage digital mail service • Craft how-to documents across a range of topics (ex. how to submit an expense report) • Hiring support • Coordinate interview scheduling via Greenhouse ATS (our recruiting database) • Support recruitment team with interview plan standardization and optimization of Greenhouse ATS • Culture & fun • Own milestone celebrations such as birthdays, work anniversaries, new babies • Champion remote culture rituals such as team huddles, virtual team meetings and events, teammate committees • Source and distribute company swag and awards, working closely with brand team on quality and design Skills • Excellent multitasking and time-management skills; able to manage your own time, collaborate with multiple teammates, respond promptly, and prioritize effectively • Exceptionally organized — a spreadsheet guru with impeccable digital file management • Strong interpersonal communication and relationship management skills • Excited to plan memorable events and comfortable managing detailed budgets, vendors, and logistics • Proficient in the full Microsoft Office suite, including Outlook, SharePoint, Excel, and PowerPoint; and experienced with Slack • Enthusiastic about creating order and implementing technology solutions • Sound judgment and discernment • Adaptable and calm under pressure; able to navigate quick turnarounds and changes • Naturally curious and able to ask insightful questions to uncover the core of a request • Background in project coordination or event planning is a plus Benefits • 401(k) eligible Company Overview • Evio offers pharmacy solutions, collaborating with health plans for transformative healthcare initiatives.
